Ceremony Instructions – Official Guidelines

Ceremony & Attendance Guidelines

Photography

  • Official photos will be taken as graduates ascend the stage by the Communications and Public Relations Department.
  • Photos will be sent to the Deans' offices after the ceremony.
  • Collection details will be announced via university email.
Note: Photography of the distinguished male and female graduates is carried out exclusively by the photographers of the Amiri Diwan.

Live Streaming

  • Available on QU official platforms.
  • Recordings will be available immediately after the ceremonies.
  • Female graduates will be streamed from a distance to preserve privacy.
  • A photography booth will be provided in the reception hall at the graduation ceremony for taking photos.
Safety notice: For the safety of attendees, bringing helium balloons into the ceremony hall is prohibited.

Simultaneous Translation During the Graduation

To access simultaneous interpretation (Arabic to English) during the graduation rehearsal and ceremony, please follow the steps below:

Not Attending the Graduation Ceremony (Absence)

In case a graduate is unable to attend the graduation ceremony, it is not permissible for anyone else to attend and ascend the podium on his/her behalf to receive the gift during the ceremony. Graduates who are unable to attend the ceremony can collect their graduation gift one week after the last ceremony, for a period of up to six months from the date of the graduation ceremony.

  • To do so, they must go to the Business Support Office in the Student Services Department and present their personal ID.

If another person is authorized to receive the gift on behalf of the absent graduate, then, the authorized person must present a copy of the graduate's Qatari ID card as well as his/her Qatari ID card and the authorization letter.

For Males:

Business Support Office, Student Services Department, Student Affairs Building (I11), Third Floor, Offices B423 & A444.

For Females:

Business Support Office, Student Services Department, Student Affairs Building (I11), Third Floor, Offices A421 & A443.

Collection Times: Sunday to Thursday, from 9:00 am to 12:00 pm.
Please follow the specified times and contact via email: before heading for collection.

Graduates can collect their gift up to six months after ceremony date. Reminder: Helium balloons are strictly prohibited inside the ceremony hall. Thank you for ensuring a safe celebration for all attendees.
